Donation of Leave

School Board employees may elect to donate individually earned personal reasons leave, individually earned annual leave, or accrued sick leave, under the following conditions:

  1. Personal reasons leave, annual leave, or accrued sick leave may be donated to another employee for the employee's personal serious illness or to care for a family member (as defined in School Board Regulation 4-53.2) with a life-threatening illness or injury. When leave is donated for the employee, he/she may receive a maximum of the hourly equivalent of sixty (60) days per fiscal year (July 1 through June 30). When leave is donated for the employee to care for a family member with a life-threatening illness, the employee may receive, per fiscal year (July 1 through June 30), a maximum of the hourly equivalent of twenty (20) days as defined by the receiving employee’s work schedule.
  2. Employees may donate a maximum of sixteen (16) hours in any given fiscal year. Donations must be made in hourly increments.
  3. Donated days will be used after the employee’s sick leave, personal reasons, annual leave and sick leave bank eligibility (if a member of a sick leave bank) have been exhausted. If a member does not have enough accrued days to meet the bank eligibility requirement, donated days may be used.
  4. Sick leave policy requirements apply to this regulation; leave increments may be taken one hour initially and in one-half (½) hour increments thereafter.
  5. The request for donations must originate from an administrator at the building level or within a central office department. On behalf of the employee, the building administrator, site director, or department head sends an email donation request to the employee’s co-workers at the work site. The administrator collects the donation forms, then forwards the completed forms to the Department of Human Resources, Office of Employee Relations.

    In order for the receiving employee to use donated hours for family illness, a written request and verifying documentation must be submitted to the Chief Human Resources Officer from the receiving employee’s principal/department head.

  6. The Department of Human Resources is charged with the responsibility of administering this Regulation.
