Employee Professional Development Reimbursement

A. Reimbursement Requirements

Full-time employees are eligible to be reimbursed up to $1,000 annually (July 1 – June 30) on a first come, first served basis for college course tuition and/or vocational/technical or adult education course registration fees. In order to be eligible to receive Employee Professional Development Reimbursement, an employee must be in a benefits eligible position(s) equal to or greater than a .5 allocation. Positions ranging from .5 to .9 will receive reimbursement on a pro-rated basis.

B. College Course Tuition

The content of the course must reasonably relate to the individual's current job, license, license renewal, and/or preparation for advancement, or assignment in an area of need designated by the school division.

1. College Course Guidelines

a. College courses must be taken through an accredited community college, four-year college or university;
b. All requests for reimbursement for course work must meet the criteria listed in Subsection B;
c. Reimbursement is for undergraduate/graduate course tuition only; and
d. An Employee Professional Development Reimbursement application must be received and approved one week PRIOR to the first day of the class.

2. College Course Application Process

a. Complete the "Employee Professional Development Reimbursement" application (found on the intranet, under Forms/Organizational Development); and
b. Submit the completed Employee Professional Development Reimbursement application to the Office of Organizational Development no later than one week PRIOR to the first day of the class.

3. College Course Reimbursement Process

a. Upon the completion of the course, submit the following to the Office of Organizational Development:

1) An official transcript, or student copy of transcript, showing employee made a grade of "C" or better or a grade of "Passing" (must include employee's name, name of college/university and date of course); and
2) Receipt for tuition paid to include employee's name, name of college/university and cost of tuition for course.

b. Reimbursement will be included in the employee's paycheck within 45 days of receipt of documentation in the Office of Organizational Development.

C. Vocational/Technical and Adult Education Fee/Tuition – The content of the course must reasonably relate to the individual's current job, certification, and/or preparation for advancement, or assignment in an area of need designated by the school division.

1. Vocational and Adult Education Fee/Tuition Guidelines

a. All requests for reimbursement for Vocational and Adult Education Fee/Tuition costs must meet the criteria listed in Subsection C; and
b. Submit the completed application and attachment to the Office of Organizational Development one week PRIOR to the start day of the training.

2. Vocational and Adult Education Fee/Tuition Application Process

a. Complete the "Employee Professional Development Reimbursement" application (found on the intranet, under Forms/Organizational Development);
b. Attach a copy of the completed registration form; and
c. Submit the completed application and attachment to the Office of Organizational Development no later than one week PRIOR to the start day of the training.

3. Vocational and Adult Education Fee/Tuition Payment Process

a. At the completion of the Vocational and Adult Education course, submit the following to the Office of Organizational Development:

1) Copy of the certificate of attendance; and
2) Copy of receipt showing payment for Vocational and Adult Education Fee/Tuition.

b. Reimbursement will be included in the employee's paycheck within 45 days of receipt of documentation in the Office of Organizational Development.


D. Employee Professional Development Reimbursement will be terminated or modified in the event the funds are reduced or no longer available for reimbursement.
